Tips to Balancing Your Workday When School is Out – The VA Summer-Time Shift

Many of us who work virtually, have a keen awareness about the benefits of balancing family life and work life. It is not necessarily easy, but it is manageable if you are organized and have a strong commitment to the profession. However, for those with school-aged kids, the summer months can push the limits of balance and patience. Our work schedules suddenly have to compete with kids who want/need our attention during daytime working hours.

Here are some useful tips to get you through what we like to call the summer -“time shift”.

Plan daily projects for your kids:
Depending on the age of your kids, try to have a daily project that requires little to no supervision which will occupy them for at least an hour. While the kids are doing their project, you can get some work done on your laptop or within ear shot of them.
Some project ideas include:

  • Quiet reading time
  • Writing letters to grandparents
  • Coloring or drawing pictures
  • Playing educational games on the iPad
  • Watching...

Find New Clients Through Your Everyday Activities

As a virtual assistant it is important to share your services in a variety of ways.  Having a website is great, being on social media is important, but don’t forget to share what you do during normal daily activities.

Talk to the person working out next to you at the gym, share your skills at kids’ school activities, at church, at social gatherings, etc. You never know who may need your services.

It is important to have specific examples of how you can help someone make their life easier. It also can help that person identify someone who may need your services if they don’t.

You can discuss how you are:

  • Skilled in social media marketing
  • Great at transcription
  • A numbers person with a strong accounting background
  • You may even have to explain what a virtual assistant is and how you started working as one

Be sure to give a way for people to contact you – email, visit a website, connect on social media, etc. if they or someone they know wants to...

Holiday Related Virtual Assistance

This is a great time of the year to offer virtual assistant services that are geared specifically towards the holidays.

A busy executive may not know that a virtual assistant can:

  • book their holiday travel
  • brainstorm gift ideas and find the best prices
  • create digital photobooks
  • order and mail holiday cards
  • help with marketing holiday promotions
  • handle emails and/or phone calls while they are away

Remember, the status quo is not always the best way to retain or attract customers.  Being a virtual assistant allows you a lot of flexibility and creativity in the kind of services you can provide to your clients. Take advantage of this busy time of the year and realize that most business owners can use an extra hand with a task that is holiday related.

Your goal should be to help your client have a stress-free holiday so that they will not think twice about referring more work to you throughout the coming year.

The Top 5 Ways to Share Large Files

Sometimes file sharing is as easy as emailing clients back and forth. When files are too large to email or you want a place for them to “live” online, there are other plenty of options.

Below are some of the more popular file sharing programs that are free or inexpensive. They are easily used on a Mac or PC, and most have apps for handheld devices also.

  1. Google Drive allows you to store some of the more popular file types online (word, excel, powerpoint, and mac equivalents) and to share them with whoever you’d like. Since the documents live in Drive and are saved automatically, you know you are always looking at the most recent version. You can also download the documents to your computer.
  2. Dropbox is a solution where you can upload files and share the link or folder to someone else to access and download the file. The files can live in the folders as long as you’d like.
  3. Box is another similar solution that allows the user to upload files and share the link...

Two Common Virtual Assistant Blunders

Sure, we all make our fair share of mistakes in life, but isn’t better when we can learn from ones that other people have made, so we do not have to repeat them? Well, you are in luck! Here are two common blunders that virtual assistants make that you will want to avoid.

1. “Cross Your Fingers” marketing. This happens to many new virtual assistants. They know they have the skills and motivation to be an outstanding VA! They have the business name, website, and service offerings all in place. Then they sit at their computers, cross their fingers, and wait for clients to find them. That is a marketing strategy that has failed for everyone who has tried it. Successful VAs know where and how to find clients. They have an effective marketing plan created, and they do the activities needed to meet prospective clients.

2. Undervaluing your services. Just because you think it’s easy to do the responsibilities you do for your clients, doesn’t mean you...
